How to Setup a Few Custom Listing E-mail Templates

One great way to keep in touch with your clients is to send them news about your latest listings hitting the market. What better way to do this than through a friendly, non-invasive e-mail? If your e-mail contains vivid pictures, a description of the property and a few personal touches, such as a video tour, personal comments on the listing, or even files for floor plans and the like, the e-mail is sure to have an appeal that draws eyes to its content, and not the close application ‘X’ at the top right corner of the screen. Start by capturing your audiences’ attention with an interesting tagline, “Once in a lifetime deal, charming 4 bedroom Victorian mansion overlooking the Scarborough Bluffs - Priced for a Quick Sale!” and then let the property do the rest of the talking.

Now some of you must be saying… “Well, I’ve looked at how to setup an e-mail template before and it’s too complicated!” 

Fortunately for those afflicted with a lack of technical proficiency, or simply with too little time to spare, we’ve made the process significantly easier for you! In this guide, you’ll be able to see how 4 e-mail templates for listings are created from the ground up. It is our hopes that through these examples, you’ll develop a greater sense of familiarity with using the e-mail templates system, and ultimately, not only be able to replicate the 4 e-mail templates made here, but also feel confident enough to craft an e-mail template of your own style.

What you need know… a.k.a “The Basics”

Before you can jump headlong into the creation of an e-mail template, you’ll need to setup a Category that’ll store all of your templates. At the Templates window click ‘Manage Template Categories’ then ‘New Category’. Name the Category; optionally input a description, and then click ‘Next’ to create it. Now that the Category has been made, you can begin to create e-mail templates.

I won’t bore you with a complete rundown of all the steps required to create an e-mail template, but if you are unfamiliar with the steps, or could use a refresher, check out the detailed instructions and video tutorial available through the Online Manual.

Now that you’re up to snuff on the basics, we can begin to look in-depth at the various examples that have been setup:

Style 1:

Auto Preview: This template provides a brief description, the main listing photo plus 3 others, some basic information as well as your contact information. As you can see in this preview, there are a lot of merge keys. Don’t worry - they will be replaced by actual data once a listing is selected!

Auto Final: Here is what it would look like once a listing is merged into the template. This template doesn’t have any optional fields so it is as easy as just selecting a listing to merge with and sending it out.

Editable Preview: To personalize this template, you can add additional features by replacing the ‘Insert Feature Here’ and ‘Insert Additional Comments Here’ with custom text.

Auto Preview: This template is simple, yet to the point, effective, and looks professional. Once again, it has no optional fields so it is just a matter of selecting a listing to replace the merge fields.

Editable Preview: A variation of that template is adding some custom text to it, such as the ‘Extra Features’ and ‘Comments’ shown in this image which is to be entered in manually by editing the template.

Style 3:

Auto Preview: One of the most important features of a listing e-mail template is providing pictures to give recipients a feel for the home you are advertising, which then results in them giving you a call for more details. Without pictures, the information looks just like that of any other home being advertised. This template boasts 3 property images side by side, and provides some details as well as contact information. It leaves the recipient of the e-mail wanting to learn more about the property.
